Welcome Flow & Lead Enrichment

The Welcome Flow is the most critical automation in your WhatsApp marketing strategy. It is the first interaction a new lead has with your brand. In this guide, we’ll show you how to build a flow that not only welcomes users but also segments them and syncs their data to your CRM or Email tool.

Intro

A Welcome Flow starts the moment a user sends their first message (via a widget, QR code, or link). It is the digital "handshake" that sets the tone for your future customer relationship.

Building the Welcome Flow

In the Chatarmin Flow Builder, your Welcome Flow should be triggered by a specific Keyword (e.g., "START" or "HELLO").

  • The First Message: Keep it friendly and offer immediate value, such as a discount code or a welcome gift.

Double Opt-In

Compliance is key. Before sending any marketing content, your flow must include a Double Opt-In (DOI) step.

  • The Action: Ask the user to confirm their subscription by clicking a button (e.g., "Yes, I want the newsletter").

  • Documentation: Chatarmin automatically logs the timestamp and IP address once the button is clicked, making the lead GDPR-compliant for future campaigns.

Lead Enrichment

Don't just collect phone numbers—collect data! Lead Enrichment allows you to ask questions to learn more about your customers.

  • Interactive Questions: Ask for their First Name, Gender, or Product Interests (e.g., "Are you interested in Men's or Women's fashion?").

  • Storing Data: Each answer is saved as a "Property" or "Tag" in the Chatarmin user profile. This allows for hyper-personalized targeting in future campaigns.

Email Sync

WhatsApp and Email should work together.

  • Asking for Email: You can ask the user for their email address within the WhatsApp chat.

  • Real-time Sync: Chatarmin can automatically push this email address and the associated WhatsApp data to your Email Service Provider (like Klaviyo). This ensures your omnichannel marketing stays consistent.

A successful Welcome Flow follows this hierarchy:

  1. Trigger (Keyword)

Live Test

Always test your flow from the customer's perspective. Scan your QR code and walk through the conversation. Check if:

  • The buttons work correctly.

  • The tags are being applied to your profile in the Chatarmin dashboard.

  • The discount code is delivered as expected.

Important Note

Ensure your "Fallback" is set. If a user sends a message that doesn't match a specific keyword, make sure you have a Default Reply or a clear path to human support so the customer never feels ignored.
